    This position will support the SVP / Chief Information Officer and management team, performing administrative tasks to help facilitate effectiveness and efficiency of the Information Systems organization.



    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily:  

    • Provide administrative support to the SVP / Chief Information Officer and Information Systems leadership team
    • Maintain and manage calendars to schedule meetings internally and externally worldwide
    • Schedule day-to-day departmental meetings/appointments and make appropriate reservations for facilities, equipment, etc.
    • Maintain and update systems and processes related to purchase orders, capital requisitions and job requisitions
    • Coordination of travel arrangements (including air, rail, car and hotel) for SVP / Chief Information Officer and direct reports
    • Preparation (gathering, collating and organizing), distribution and filing of standard weekly, monthly, quarterly and annual reports, presentations and documents
    • Prepare and maintain Word, Excel, Visio and Power Point documents and presentations, as well as organizational charts for the Information Systems leadership team
    • Complete registrations for professional meetings, seminars and workshops
    • Communicate all corporate and departmental policies (e.g. new, revised, obsolete)
    • Maintain and order all supplies for department use
    • Responsible for New Employee Set-up (e.g. preparing and submitting New Employee set-up forms)
    • Efficiently organize and maintain files, both electronic and paper-based
    • Conduct internet based research for industry relevant topics
    • Ability to handle sensitive and confidential matters with discretion and diplomacy
    • Answer and assist with telephone, email and social media inquiries from internal and external contacts
    • Proficiency in document creation and proofreading
    • Excellent organizational, interpersonal, oral and written communication skills
    • Ability to work effectively under tight deadlines and heavy workloads
    • Ability to prioritize, plan, and execute multiple assignments in a timely manner
    • Special projects and various other administrative duties


    The requirements listed below are representative of the knowledge, skill and/or ability required for this position:

    • High school education, college degree preferred
    • Minimum of 10 years of executive support required
    • Must be proficient in Microsoft Office Suite and possess excellent written and oral communication skills
    • Experience with Oracle or SAP for creation of requisitions and purchase orders
    • Experience with Concur for the creation of travel & expense reports
    • Must be able to multi-task and be a self-starter
    • Ability to be discrete with confidential information
    • Excellent proofreading and typing skills
    • Must possess positive interpersonal skills and be able to communicate well and in a positive manner to customers, employees, visitors, and vendors
    • Ability to multi-task while still exhibiting good judgment and poise in a fast-paced environment
    • Excellent attendance and punctuality
